Event Pass Expired? Here Is Exactly What Changes
An Event Pass covers one event day, then ends on its own. Nothing you built or collected is deleted; only the room size goes back. What changes, and what next.
Your pass says used and the event is over, or worse, is not. This is the single most common message we get about the Event Pass, and the short answer is reassuring: a used pass takes nothing away except the bigger room. Every poll, every response and every export is exactly where you left it.
What a used pass does not touch
A pass is not an account, a subscription or a container. It is a temporary raise on one number: how many people can be in a live room at once. When it ends, that number goes back down and nothing else moves.
- Your polls stay. Every deck, question and setting is untouched.
- Your results stay, and stay readable. The event you ran is still there with every answer in it.
- Exports still work. CSV, XLSX and the PDF report can all be downloaded months later.
- Shared result links keep working. Anything you handed out during the event still opens.
- The feedback survey keeps going. The event's follow-up survey collects on the pass's terms while it is open.
Note
If you are looking at a used pass and wondering whether you lost your data: you did not. Open the poll in Studio and the results are still there.
What actually changes
Only two things. Your live-participant cap drops back to whatever your plan gives you (50 on Free, 100 on Pro), and the Premium features the pass lent you go back with it, so custom themes revert and our badge reappears on the audience's screen for new sessions.
That is the whole list. It applies to future rooms; a session that already happened is unaffected.
It cannot end in the middle of your event
The pass does not start when you pay. It starts at the first join your plan cap would have refused, and there is no button to start it early. From that moment the event's decks keep the bigger room for 24 hours, so the breakouts and the closing session that follow are covered too, and the pass is used when that first room closes. The hours never stretch: a room still open after them stays open with everyone in it, but takes new people only up to your plan's limit.
Important
A used pass is final: it cannot start again, take a new deck or move to another event. Add all of the event's decks before the first room closes, and if the conference runs over two days, hold one pass for each day the room is above your plan.
A pass you buy and never use
There is one clock that does start on the day you pay: an unused pass keeps for 6 months. After that it is expired unused and can no longer start. Nothing else is touched (any event you attached it to keeps its results and exports), but the pass is spent. Studio shows the use-by date on every pass you are holding from the day you buy it, and highlights it in the final month, so buy inside the window you actually plan in.
If you need a big room again
- Buy another pass. Passes are one-time purchases and you can hold as many as you need over time. A fresh one stays dormant until it is actually needed, exactly like the first.
- Move to a subscription if it is becoming a habit. Two passes in one month costs more than a month of the plan that covers the same room, and a subscription also gives you unlimited sessions and published polls, which a pass does not.
- Ask us if you run a series. For a recurring event calendar we will say which is cheaper for your pattern.
Can I get a refund on a used pass?
No, and it is worth understanding why rather than being surprised by it. A pass that has started has been received, the same way a ticket is used once you walk through the door. That is precisely why a pass starts only when a room needs it: never at checkout, never from a button, and never during a small rehearsal. A pass you bought that has not started is a different matter and can be refunded within 14 days of purchase.
The full lifecycle: buying, when a pass starts, what you get while it is in use, and what changes once it is used.
