Live Voting Tool for Nonprofits, Associations and AGMs

Counting hands at an AGM is slow and disputable. How associations run transparent live votes on motions, board elections and member feedback, with no app.

By the PollsLive team·EventsCommunityHow-to

Ask anyone who chairs a community association about the AGM vote: a show of hands, a squint across the hall, a recount when someone disputes it, and no clean way to include the members on the video call. Moving the vote to members' phones makes it faster, countable and, crucially, the same for the people in the room and the people online.

Motions and elections, counted instantly

Put the motion on screen, members vote from their phones, and the tally appears at once, no counting, no dispute about who had a hand half-up. For board elections, a ranked or multiple-choice slide handles the ballot and shows the result the moment voting closes.

How the AGM vote actually ran

Here is how a typical AGM vote runs. The chair puts the budget motion on screen, and 140 members, in the hall and on the video call, vote from their phones. The tally appears the instant voting closes, with no squinting across the room and no recount:

Carried, 109-21. Result recorded for the minutes the moment voting closed.

The board election ran the same way, a clean count the moment the poll closed, the same for the people in the hall and the dozen dialing in:

The biggest change is not the speed. It is that hybrid members finally count the same as the people in the room.

Beyond the formal vote

  • Gather member feedback with an open-ended question and group the responses into themes live, far better than a comment box nobody reads.
  • Take the room's temperature on a proposal with a 1-5 scale before the formal motion, so debate is informed.
  • Run anonymous Q&A so quieter members raise concerns they wouldn't voice at a microphone.

Built for mixed in-person and remote meetings

Members join by QR or PIN with no app and no account, which matters for a membership that isn't especially technical. Hybrid AGMs work because everyone votes in the same session, whether they're in the hall or on the call. Keep a record by exporting results to CSV (Pro) for the minutes.

A show of hands works until someone disputes the count or half the members are dialing in. A live vote just shows the number.

For larger gatherings, the PollsLive for events page covers running big rooms smoothly.

Tip

Close the vote before announcing results: locking the poll prevents late entries from changing the outcome.
